"Fleet management software" covers everything from a GPS tracker with a map to a full transport management system. Before comparing vendors, decide what problem you're actually solving.
Three kinds of fleet software
- Telematics-led platforms start with hardware in the vehicle: tracking, driver behaviour, fuel and engine data, dashcams.
- Maintenance-led platforms start with the vehicle record: services, inspections, defects, parts and costs.
- Operations-led platforms start with the work: orders, routes, drivers, proof of delivery and customer updates.
Many operators end up with one of each and a lot of spreadsheets in between. The question to ask is how much of your day is spent moving information between them.
What UK operators need to cover
If you run vehicles over 3.5 tonnes under an operator's licence, your system should help you show that you:
- Carry out and record daily walkaround checks, and fix defects before the vehicle is used.
- Keep to the safety inspection (PMI) intervals you committed to on your licence.
- Track MOT, tax and insurance for every vehicle, and tachograph calibration where it applies.
- Check driver licences regularly and track Driver CPC and tacho card expiry.
- Examine lifting equipment such as tail lifts under LOLER.
- Keep records you can produce at an audit or DVSA visit.
Questions to ask every vendor
- Does maintenance status affect planning? If a vehicle has a dangerous defect, will it still appear on tomorrow's routes?
- How are drivers matched to vehicles? Are licence categories and your own tonnage restrictions checked?
- Is hardware required? Telematics is valuable, but a driver app can provide tracking and proof of delivery without fitting a device.
- How does it connect to our ERP? Will orders flow in and delivery results flow back, or will someone re-key them?
- Where is our data stored? UK and EU hosting matters for many customers.
- What do drivers actually use? If the driver app is clumsy, the data in the office will be poor.
Cost: look at the whole stack
Compare the total of everything you'd need, not just one licence. A cheaper route planner plus a maintenance tool plus a training spreadsheet plus manual ERP updates can cost more, in money and in time, than one platform.
Where Fleetnyx fits
Fleetnyx is an operations-led platform that also covers maintenance and compliance: route planning, a driver app with walkaround checks and ePOD, maintenance, rosters, PCNs and ERP integration. If you're comparing options, our comparison pages set out where each type of tool is strongest.
