Warehouse Tasks & Compliance Checks

Temperature checks and cleaning schedules that get done and get recorded

Give a task to a warehouse user, once or on a repeat. They see it on their handheld, enter the reading or tick the checklist, add a photo and complete it. If it is not done on time, the people you choose are emailed. And when you assign it, Fleetnyx warns you if that person is not on shift at that day and time.

  • One-off and recurring tasks
  • Readings checked against a safe range
  • Shift warnings when you assign
  • Task types with their own checklist

Start with a temperature check (a reading and its safe range) and a cleaning round (surfaces, floors, bins). Add your own types with readings, yes or no ticks, text or pick-lists, and say whether a photo is required.

  • One-off or repeating

Repeat daily, weekly on chosen days, or monthly, every so many days, weeks or months, with an optional end date. The next occurrence is created when one is completed, at the same time of day.

  • A warning if they are not on shift

While you assign a task, Fleetnyx checks the warehouse roster for that day and time and warns you if the person is not working, is marked absent, or the task falls outside their shift. For repeating tasks it checks the next four weeks.

  • Out-of-range readings need a note

A temperature outside its range is accepted but cannot be completed without a note explaining what was done about it. The reading is shown in red to the office.

Features

What you get with Fleetnyx Warehouse Tasks & Compliance Checks

01

Task types with their own checklist

Start with a temperature check (a reading and its safe range) and a cleaning round (surfaces, floors, bins). Add your own types with readings, yes or no ticks, text or pick-lists, and say whether a photo is required.

02

One-off or repeating

Repeat daily, weekly on chosen days, or monthly, every so many days, weeks or months, with an optional end date. The next occurrence is created when one is completed, at the same time of day.

03

A warning if they are not on shift

While you assign a task, Fleetnyx checks the warehouse roster for that day and time and warns you if the person is not working, is marked absent, or the task falls outside their shift. For repeating tasks it checks the next four weeks.

04

Out-of-range readings need a note

A temperature outside its range is accepted but cannot be completed without a note explaining what was done about it. The reading is shown in red to the office.

05

Photos and evidence

Tasks can require photos, and the completed task keeps the readings, the photos, who did it and when.

06

Overdue alerts

If a task is still not done a short while after it was due, the people you have chosen for that alert are emailed once, with a link to the task.

07

A clear task list

Managers see every task with who it is for, when it is due, whether it repeats and its status. Staff see only their own tasks, grouped into To do, Overdue and Done.

How it works

From start to finish

  1. 1

    Set up a task type

Define the checklist: a temperature reading with its safe range, or the cleaning tick list.

  2. 2

    Assign it

Choose the person, the due time and whether it repeats. Fleetnyx checks the roster and warns you about gaps.

  3. 3

    Do it in the app

The person records the reading or ticks the list, adds photos and completes it.

  4. 4

    Keep the record

The completed task is stored with readings, photos and notes, and the next one is created automatically.

Frequently asked questions

Can I use this for chiller and freezer temperature logs?

Yes. Create a task type for each, such as a chiller with a 0 to 5 degree range and a freezer with its own range, then assign them as a daily task. Each reading is stored with who took it and when.

What if the person is not on shift?

You are warned while assigning, and you can still assign it. The warning says whether they are not on the roster that day, are marked absent, or the task is due outside their hours.

What happens if a task is missed?

The people chosen for the overdue alert are emailed once. A missed repeating task is not made up: the next occurrence is created for the next due time, so a late completion does not leave a pile of overdue tasks.

Does this replace my food safety system?

It records the checks your team does and keeps the evidence. It does not replace your own food safety management system or your legal duties, but it gives you a dated record of readings, notes and photos.
